- Manage relationships with vendors, the landlord and service providers, and compare quotes
- Track expenses, process bills and work with our bookkeeper or accountant
- Coordinate onboarding for new hires, including paperwork, equipment and accounts
- Maintain staff schedules, time-off calendars and coverage plans
- Supervise front-desk or administrative staff and train them on our procedures
- Keep office policies, emergency contacts and how-to documents up to date
- Recommend better tools or processes when something isn't working
What we’re looking for
- Previous experience managing an office or running administrative operations
- Strong organizational skills and a habit of following through
- Comfortable with Microsoft 365 or Google Workspace and quick to learn new software
- Working knowledge of budgets, invoices and expense tracking
- Able to give clear direction and handle sensitive staff matters with discretion
Nice to have
- Experience with QuickBooks Online or Xero
- Experience running payroll or managing employee benefits
- Background in our industry or a similar small business
Schedule
Full-time, Monday through Friday during business hours. Occasional early mornings or evenings may come up for vendor visits or office projects.
