Program Coordinator job description template
A program coordinator keeps a nonprofit's programs running day to day: scheduling sessions, managing supplies and participants, supporting staff and tracking results for funders. The best posts name the specific program, who it serves and how much of the job is hands-on delivery versus planning and reporting.
Program Coordinator
Full-timeYour Company is hiring a program coordinator to help run the programs at the heart of our mission. You'll plan schedules, enroll participants, support staff and volunteers, and collect the data that shows the difference our work makes. Some days you'll be at your desk building calendars and reports; others you'll be on site making sure a session goes smoothly. If you're organized, people-focused and care about our community, we'd like to hear from you.
What you’ll do
- Plan program calendars, book spaces and coordinate staff, volunteers and partners
- Enroll participants, manage waitlists and keep attendance and contact records accurate
- Lead or co-lead program sessions and step in when a facilitator is out
- Order supplies and track program spending against the approved budget
- Collect surveys, outcomes and attendance data, and help prepare reports for funders
- Build relationships with partner schools, agencies and community groups
- Train and support the part-time staff who deliver program sessions
- Follow up on participant concerns and use feedback to improve the program
What we’re looking for
- Experience coordinating programs, events, classes or services in a nonprofit, school or similar setting
- Strong organization and the ability to manage several deadlines at once
- Confident using Google Workspace or Microsoft Office to build schedules, trackers and simple reports
- Clear, respectful communication with participants, staff, partners and funders
- Willing to complete a background check if the program serves children or vulnerable adults
- Reliable transportation to reach program sites, if our programs run at more than one location
Nice to have
- Bachelor's degree in education, social work, public health or a related field
- Experience with outcome tracking or grant reporting
- Experience with case management or CRM tools such as Salesforce or Apricot
Schedule
Full-time, mostly weekday daytime hours, with some evenings or weekends when programs or events run. We share the program calendar well in advance.
What we offer
- Paid vacation, sick leave and holidays
- Health insurance for full-time staff
- Conference and professional development opportunities
- Comp time or a flexible schedule when you work evening events
Add your pay, location and schedule when you post. Jobs that show pay get noticeably more applicants.
