Volunteer Coordinator job description template

A volunteer coordinator recruits, trains, schedules and thanks the people who give their time to your organization, so programs stay fully staffed. At a small nonprofit this is often a part-time role with a lot of independence, so a good post explains which programs rely on volunteers and how many people the coordinator will support.

Volunteer Coordinator

Part-time
Your Company is hiring a volunteer coordinator to build and support the volunteer team behind our programs. You'll recruit new volunteers, match them with roles they'll enjoy, train them and make sure every shift is covered. You'll also be the friendly, organized person volunteers turn to with questions, and the one who makes sure their work is noticed and appreciated. If you love connecting people with a cause, we'd like to meet you.

What you’ll do

  • Recruit volunteers through community groups, local businesses, social media and events
  • Interview and place volunteers in roles that fit their skills, interests and availability
  • Run orientation and role-specific training, including safety and confidentiality basics
  • Build and manage volunteer schedules and fill last-minute gaps
  • Track volunteer hours, background checks and contact details in our volunteer database
  • Plan recognition such as thank-you notes, shout-outs and an annual appreciation event
  • Serve as the main point of contact for volunteers and resolve issues promptly
  • Report volunteer hours and impact to leadership for grants and annual reports

What we’re looking for

  • Experience organizing people, through volunteer programs, events, clubs or customer-facing work
  • Strong follow-through with schedules, emails and records
  • Warm, clear communication in person, by phone and in writing
  • Comfortable with spreadsheets, email and online scheduling tools
  • Available for some evening and weekend events and volunteer shifts

Nice to have

  • Experience with volunteer software such as SignUpGenius, VolunteerHub or Better Impact
  • Experience volunteering with a nonprofit yourself
  • Background in community outreach, event planning or social work

Schedule

Part-time, mostly weekday office hours with some evenings and weekends for events and volunteer shifts. We can be flexible about which days you work.

What we offer

  • Flexible schedule, with some remote work for planning and admin tasks
  • Paid time off, prorated for part-time hours
  • Training in volunteer management through workshops and webinars
  • Mileage reimbursement for work-related driving

Add your pay, location and schedule when you post. Jobs that show pay get noticeably more applicants.

  4. Tell me about a time you had to fill several open shifts at the last minute.

Tips for hiring a volunteer coordinator

  • Ask a few longtime volunteers to meet your finalists. They'll quickly tell you who makes them feel valued.
  • Give finalists a short exercise, such as drafting a volunteer recruitment post or a shift schedule for a busy week.
  • If volunteers work with children or other vulnerable people, make sure the coordinator learns your screening and background-check process from day one.
  • Share the opening with your current volunteers and donors. Someone who already loves your mission may be the perfect fit.
